How to E-mail a Potential Employer?
E-mail (Electronic Mail) is a method of exchanging digital messages. An e-mail message has two components, the message header and message body. The message header has control information like e-mail address of sender or originator and one or more addresses of recipient in CC & BCC form. All other information like detailed message is inserted into body of e-mail. E-mail is a very useful communication tool because you can use this tool in your job hunting. It is a blessing of electronic media for job seekers that they can send their resumes to their desired organizations any where and at any time. This media also creates some hurdles because due to huge quantity of mails some mails still remain unopened in mail box of employer.
If you want to send an e-mail to your employee either for inquiry purpose or for job hunting or in response of any advertisement then to get proper response you should follow some simple procedures before sending e-mail to potential employer.
- You should make your subject line compelling and eye catching to get attention and quick response from perspective employer
- If you want to attach any application/cover letter or other document then make it sure that it is fairly conservative and has business letter format like “date, address, name, job title, and salutation.
In first sentence you should mention your reference that from which sources you would come to know about this job.- Keep your inquiry statement and letters brief and concise.
- Employer judges your attitude on the basis of spelling, grammar and ability to meet deadlines. On the basis of this judgment he/she screens out candidates for interview.
- Provide your complete contact information in the closing of email.
- Always remember that the e-mail is being read by human being on the other end so the e-mail must not have impersonal tone. Keep your writing tone friendly and professional.
- If you don’t hear any word for two weeks after sending your resume or query from potential employer then you can send a brief reminder to him/her. Employers are overwhelmed with resumes after an initial posting and might be more receptive to later e-mails.
- Always send a carbon copy of all e-mails to yourself to keep an active correspondence file.
- If you are sending your resume as an attachment then acknowledge cutting and pasting in the body of e-mail as well. This is because if due to any mishap recipient cannot open any attachment then he can still view your resume in the body of e-mail. Always keep in mind that you can lose some formatting during cut, copy and paste.
- There is no exception of privacy in case of e-mail so be careful and proofread before sending your resume. E-mail shelf has forever life.
- Once you have sent e-mail then you cannot un-send it so proof read it again and again before clicking on send and make it sure that there are no spelling or grammatical errors.
